We are seeking a Submissions Coordinator to lead the preparation of high-quality fee proposals and tender responses across a diverse portfolio of work spanning housing, commercial, public, education and hospitality sectors.
As an established, award-winning architecture and interior design practice with studios in Adelaide and Melbourne, you will join our Administration / Operations team within our Kent Town design studio in a flexible part-time or full-time capacity.
This role requires strong organisational and interpersonal abilities, excellent attention to detail, and refined writing capability.
Key Responsibilities
- Lead and coordinate the end-to-end preparation of fee proposals, tender responses and EOIs
- Review tender documents and extract key criteria to ensure compliant, well-structured responses
- Coordinate timely input from Directors, senior staff and consultants
- Manage timelines to meet strict deadlines
- Write and tailor clear, persuasive responses, editing and refining technical content provided by others
- Design and format submission documents in Adobe InDesign in line with the brand style guide, ensuring strong and consistent visual layout and translation of information
- Collaborate with marketing to source and align project information, CV’s and supporting material
- Manage submission lodgement via portals, procurement platforms and email
- Track submission performance
- Contribute to improving submission templates, systems and processes
You will have
- Exceptional copywriting and editing skills, with the ability to craft clear, persuasive and tailored responses
- Confidence managing multiple deadlines and coordinating input from senior staff members and wider consultant teams
- The ability to interpret briefs and align responses to client priorities
- A proactive mindset with the ability to work independently
- Excellent attention to detail and organisational skills
- Proficiency in Adobe InDesign
- Sound understanding of document layout, typography and visual hierarchy
- Experience in a similar Submissions, Bid or Proposals Coordinator role (architecture, design, construction or professional services preferred)
- Relevant degree in Marketing, Business, Graphic Design or Communications preferred but not required
